Enrollment Fee Waivers and Extension of Payment Deadline

Hiroshima University has a program in place to waive one half or all of the enrollment fees for those who are unable to pay them as well as a program to extend the payment deadline by a certain length of time (the last day of August for those enrolling in April and the last day of February for those enrolling in October). Those wishing to receive a waiver or an extension must apply in person. Applicants are ranked according to need based on household income and other factors, and decisions are made accordingly within the budget.

1. Those Who May Apply for a Waiver
 

(1) Undergraduates
Those who are unable to or experience difficulties in paying the enrollment fees due to one of the following circumstances arising between the month of April (or October, if the student is enrolling in October) the year before enrollment and the time when the enrollment forms are submitted.
 

 

(a) The person providing the student's school expenses passes away

(b) The student or the person providing the student's school expenses is the victim of a natural disaster

(c) The person providing the student's school expenses loses his or her job and is unemployed at the time of application (This applies only to those whose employers have gone out of business or those who have been fired. It does not apply to those who retire due to reaching retirement age, taking advantage of early retirement programs, or personal reasons)

(d) The person providing the student's school expenses is, at the time of application, undergoing long-term medical treatment ("Long-term medical treatment" refers to treatment that is expected to take six months or more to complete, during which time the person may not work)
 

(2) Those Enrolling in Graduate School or an Advanced Course
Those to whom either 1) or 2) below applies:
 

 

1) Persons enrolling in graduate school or an advanced course who have an outstanding academic record and are unable to pay their tuition fees due to economic reasons

2) Those to whom one of the items from (a) to (d) in the paragraph above applies
 

2. Those Who May Apply for an Extension of the Payment Deadline
 

Those to whom either 1) or 2) below applies.
 

1) Persons enrolling in a faculty, the graduate school, or an advanced course who have an outstanding academic record and are unable to pay their tuition fees due to economic reasons

2) Those who are unable to or experience difficulties in paying the enrollment fees due to one of the following circumstances arising between the month of April (or October, if the student is enrolling in October) the year before enrollment and the time when the enrollment forms are submitted.

3. How to Apply (Waivers and Extensions)

Those wishing to apply for a waiver or an extension of the payment deadline must obtain a copy of the "Enrollment Fee Waiver and Deadline Extension Application Guide." The guide contains the necessary forms as well as instructions on how to submit the application.

Those enrolling in Graduate School or an Advanced Course
 

The guide may be picked up at the Student Services Group (3rd floor of the Student Plaza) and in the student support offices of the faculties/schools. When requesting a guide by postal mail, refer to the Enrollment Guide included with the Notification of Acceptance.
 

Undergraduates
 

The New Student Guide sent along with the Notification of Acceptance contains instructions concerning the procedures and the necessary forms, so be sure to read it. Before you start the enrollment procedures, call and make sure you qualify. If you qualify, submit the Application for Enrollment Fee Waiver (Extension of Payment Deadline), questionnaire and return envelope to the admissions office along with the enrollment forms. The Student Services Group will mail you the guide.

Where: Student Services Group, 3rd floor of the Student Plaza (or the Admissions Office if you will be submitting the forms at the Kasumi or Higashi-senda campuses)
How: Submit your application to the Student Services Group before you submit the enrollment forms to the Admissions Office. (If you will be submitting the enrollment forms at the Kasumi or Higashi-Senda campuses, submit the application along with the enrollment forms to the Admissions Office.)

-If you will be sending the documents by postal mail:

How: Mail the application forms (in the special application envelope) along with the enrollment forms to the Admissions of each school.
 

Undergraduates

[Where and how to submit application] Read the guide carefully and bring or mail the required documents to the Student Services Group (3rd floor of the Student Plaza) by the designated deadline.
 

(3) Decisions and Notification
 

 

1) Decisions: The Beginnin of June for those enrolling in April (tentative), the End of November for those enrolling in October (tentative)

2) Notification: After the date is announced on the electronic message board (Momiji), notification of the decisions will be provided to the applicants.
 

4. Notes About the Application Process
 

- Those who have sent the enrollment fees along with their enrollment forms may not apply.

- Applications may not apply for both a waiver and an extension of the payment deadline.

- Enrollment fees will not be collected from applicants until a decision has been made on their applications. Note that if the fees are paid before a decision is made, the application will be discarded.
