Immigration Procedures and Part-time Job Information

* Here we use the word "visa" to include the meaning of "status of residence".

International students receive a "college student" visa from the Immigration Bureau, Ministry of Justice, which means that they are permitted to stay in Japan on the condition that they undertake study (research) at Hiroshima University.
As an international student, there are several visa procedures you need to keep in mind while you are living in Japan. Please read the following list carefully and be aware of the following while in Japan.

When the period of your "college student" visa is coming to an end...

Even if the period of your stay has come to an end, you must apply for an extension of your visa before it expires to stay and study longer. If you do not apply for an extension and remain in Japan past the experiation of your visa, you will be considered an illegal alien. Therefore, we ask that you please be careful (you can check the expiration date of your visa on either your Alien Registration Card or your passport).

Please apply for an extension at the Hiroshima Regional Immigration Bureau after you have gathered all the necessary documentation. You may apply for an extension from two months before the expiration date of your current visa.

If you are considering working part-time...

International students are not allowed to work for a living. However, you may receive permission from the Immigration Bureau to hold a part-time job to a degree which does not interfere with your study or research. Working at questionable establishments such as bars, clubs, hostess clubs, etc (including cleaning and washing dishes) will not be permitted.

In Hiroshima University, regular students (undergraduate, Masters and Doctorate students), and research students are allowed to work for up to 28 hours per week, and special auditing students are allowed to work for up to 14 hours per week. Students are also allowed to work for up to 8 hours per day during the summer (August 1 to September 30), winter (December 24 to January 7), and end-of-school-year (February 12 to March 31) vacations.
Please gather the necessary documentation and submit an application to the Student Support Office in your Faculty or Graduate School before you start your part-time job. A member of the International Student Exchange Group has been assigned to submit your applications on your behalf at the Immigration Bureau on a month.
Under special circumstances the individual may send applications to the Immigration Bureau, but in this case, a letter from the University is necessary, so you are advised to consult with the International Student Exchange Group.

In addition, the work permit has a time limit. When the period of your "college student" visa expires, your work permission also expires. Each time you apply for permission to extend the period of your stay you must re-apply for work permission.

Should you receive salary or payments for work done without a Work Permit, you will be subject to fines of up to 2 million yen.

When you leave Japan temporarily...

With a "college student" visa, you must apply for re-entry permission at Hiroshima Immigration Bureau before you leave Japan for trips back to your home country, abroad for holiday, or to participate in conferences. If you forget to do this you will not be allowed back into Japan.

Please also submit "Temporary Homebound/Traveling Abroad Report" to the Student Support Office in your Faculty or Graduate School, available at the Student Support Office.

Regarding University Attendence

International students receive a "college student" visa from the Immigration Bureau, Ministry of Justice, which means that they are permitted to stay in Japan on the condition that they undertake study (research) at Hiroshima University. If you do not have an acceptable reason for not attending the university for 3 or more months, your "college student" visa will be revoked, and you will be forced to return to your home country.Not attending school for financial reasons is not considered an acceptable reason.

In short, any international student with a "college student" visa who takes a temporarily leave of absence from the university on the ground of lack of finances cannot stay in Japan, and it goes without saying that taking a part-time job is also out of the question.

Regarding Alien Registration

Please go to your local town office if any of the information shown on your Alien Registration Card changes (change of address or visa status, etc). This has to be done within 14 days of such a change.

Notes:
1. The Hiroshima Regional Immigration Bureau is open to take applications from 9:00-16:00, Monday to Friday (except National Holidays).

2. The various application forms and lists can be obtained from the Student Support Office in your Faculty or Graduate School or the International Student Exchange Group. The application forms can also be downloaded from the Immigration Office website.
