FAQ (HiR)

Registration

  • Can past issues of bulletins be registered in HiR?

Yes, as long as copyright clearance has been completed (i.e., permission from the copyright holder has been obtained, or copyright has been transferred to the registering organization).
In Japan, there are cases where academic societies have granted permission for digitization and online publication retroactively.

  • Can video files of recorded lectures be registered in HiR?

Yes. Files of approximately 100 MB or less can be registered in their original format. However, please note that streaming functionality is not available.

  • Please tell me the file formats that can be registered in HiR.

In principle, any file format can be registered as long as it does not pose security risks. However, for document data, please submit PDF files. If you send Word files or similar, they will be converted to PDF for registration unless you specifically request otherwise.

  • Can the main text and figures be in separate files?

Yes. However, files are generally registered as they are. If you prefer to have them combined into a single file, please send the combined version.

Rights and Permissions

  • Are there any issues under copyright law?

No. There are no copyright issues because only works for which the registrant holds the copyright or has obtained permission from the copyright holder will be published, so there is no problem.

  • My paper has co-authors. Is their consent required for registration?

If the copyright belongs to the authors, please confirm consent with your co-authors. The library assumes that consent has been obtained when the academic work is provided for registration.
If you need to exchange a written agreement among authors, you may use the “Agreement to allow deposit of published research in Hiroshima University Institutional Repository”—submission of this form to the library is not required.
If the copyright belongs to the publisher or an academic society, consent from co-authors is not legally required under copyright law. However, if there is a possibility of disputes among authors later, we recommend confirming with your co-authors in advance.

Usage

  • I found abstracts of doctoral and master’s theses in HiR, but can I view the full text?

Some doctoral and master’s theses are available for viewing in HiR. If you cannot find the full text by searching, it is not available in HiR.
For doctoral dissertations not published in full on HiR, most can be viewed in the Central Library upon request for on-site viewing.
For master’s theses that are not available in HiR, please contact the relevant graduate school (note that access may not always be possible).

  • I want to use figures or text from a paper.

For permission, please contact the copyright holder or the copyright management organization directly. You may use them only within the scope permitted by copyright law and within the permissions granted by the copyright holder (author, publisher, academic society, etc.).
