How to Register
Please check the “Notes by Type of Academic Work” section below, then send the electronic file of the academic work you wish to register to the following contact by email:

If the file size is large, please use one of the following methods:
- File sharing service (Proself) provided by the Information Media Center
- General file transfer services
- Save the file on a DVD and send it via campus mail
Please note:
In principle, once an academic work is published in HiR, it neither cannot be deleted nor changed.
For university publications (e.g., Bulletins), registration is generally accepted from the issuing organization.

University Publications (e.g., Bulletins)
Registration can be made through the editorial committee or other organizations responsible for publishing university publications.
To enhance the international dissemination of Hiroshima University’s research achievements, Japanese academic journals (such as bulletins) funded by the university budget are now required to include an English abstract and be registered in HiR.
(This policy was approved at the Research Promotion Organization meeting on September 24, 2014.)
When Registering for the First Time
If you are launching a new university publication or if previous issues have not been registered in HiR, please complete the following steps:
- Establish the publication’s regulations so that it can be registered in HiR
- Submit the Consent Form for Data Registration in the Hiroshima University Institutional Repository to the library
- Send the electronic files of the publication to the library
From the Second Time Onward
Submission of the consent form is not required.
Please send the electronic files of the publication to the library.
Journal Articles and Conference Papers
These research outputs are subject to the “Hiroshima University Open Access Policy.”
If you need to make a work non-public due to reasons such as being unable to obtain consent from co-authors, please submit an Open Access Exception Application using the form below.
Copyright Check
Copyright may have been transferred to the publisher or an academic society.
Please confirm in advance who holds the copyright and whether the copyright holder permits inclusion in the institutional repository.
In addition, the conditions for posting in an institutional repository vary by publisher. For example, the following restrictions may apply:
- The Version of Record (VoR) is not allowed; only the Author’s Accepted Manuscript (AAM) is permitted (or vice versa).
- An embargo period may be set before the work can be made publicly available in the repository.
You can check these conditions through:

- Publishing agreement specifying copyright transfer terms
- Publisher’s official website
- SCPJ (mainly for academic societies in Japan)
- Open Policy Finder (mainly for overseas publishers)

Please check which “version of the article” has been approved by the publisher for inclusion in the institutional repository.

Co-author Consent
When registering a paper, please obtain consent from all co-authors.
Submission in writing is not required, but prior agreement is necessary.
Doctoral Dissertations
Please submit the electronic file of your dissertation together with the “Doctoral Dissertation Submission and Publication Confirmation (Application Form)” to the Student Support Office of your graduate school.

Undergraduate and Master’s Theses
- You are required to submit the “Permission Form for Registering Master’s and Undergraduate Theses in the Institutional Repository.”
Please ensure that both your name and your supervisor’s name are hand-signed. - Also, confirm that the research content (text, figures, tables) does not include any material that cannot be made public in HiR, such as content that infringes copyright or privacy.
Other Academic Works
- As a general rule, if there are co-authors, please obtain their consent for registration in HiR.
- Please also confirm that the research content (text, figures, tables) does not include any material that cannot be made public in HiR, such as content that violates privacy copyright or privacy.
- When submitting the electronic file of the academic work you wish to register, please include basic bibliographic information (e.g., title, publication details, page numbers, DOI).
DOI Assignment
Some academic works registered in HiR are assigned a DOI (Digital Object Identifier).
A DOI is a globally recognized identifier for scholarly works and plays a vital role as an infrastructure supporting scholarly communication. It also serves as a persistent URL, ensuring permanent access on the web and preventing broken links when citing academic works.
The DOI format assigned in HiR is: 10.15027/[number assigned by the library]
The registration agency is Japan Link Center (JaLC).
Please note that services provided by CrossRef or DataCite (such as Similarity Check or CrossMark) are not available.
- Academic works eligible for DOI assignment
・Newly registered academic works published in university publications (e.g., bulletins, research journals, reports)
For works already registered in HiR, a DOI can be assigned upon request.
- Academic works not eligible for DOI assignment
・Papers that already have a DOI assigned by a publisher or another institution
・Author’s accepted manuscripts of journal articles
- Other Cases
In some cases, a DOI may be assigned upon the author’s request, such as:
・Research data associated with a paper scheduled for submission to an academic journal
Notes
- It may take approximately 1–2 weeks after registration in HiR for the DOI to become active.
- Academic works assigned a DOI cannot, in principle, be made private or deleted.
- DOIs are not assigned to non-academic content such as cover pages, tables of contents, editor’s notes, or colophons.
