Those who wish to obtain a letter of provisional acceptance as a research student

If you have applied for the Japanese Government (Monbukagakusho: MEXT) Scholarship and have passed the first screening at the Japanese Embassy (Consulate Office) in your country and wish to study at Hiroshima University, please follow the steps below to apply for a letter of provisional acceptance.

Application Period

After the notification of the first screening results, until the deadline to apply for a letter of provisional acceptance. Around June to Late Augst
(The application deadline for the 2024 is Friday, August 25, 2023 (Japan time) !)

<Find a prospective supervisor>

Research carefully whether Hiroshima University has a program that matches your purpose of study abroad and your research plan, and which faculty members are in charge of the program.

  • Gather information about the graduate school you wish to enroll in.

  • Research the faculty member's research field, etc., and decide which faculty member you would like to work with.

    It's a database intended to provide information on education and research activities of HU researchers.
    You can search by name and keywords. .

 ※Please consider carefully so that you will not be disappointed after enrollment.

<If you pass the first screening>

After you have obtained a Passing Certificate of the First Screening issued by the Japanese diplomatic mission, you can request a letter of provisional acceptance.
Please choose one of the two ways to apply.

●Apply through the online system.

Procedures for applying through the online system

 (1)Register an account on the IAO's website*1
  Entrance to IAAS (International Admissions Assistant System) 
  https://www.iao.hiroshima-u.ac.jp/

 (2)Fill out the IAAS application form and upload the required documents; send to the IAO
  Select "Financial Plan" on the application screen.
  Scholarship Name: "MEXT scholaship (Embassy) First screening"
  Status: "Accepted"
      Supporting Documentation: Click "Upload" button and add the documents*2

 (3)Receive an automatic email from the IAAS
  If your application is complete, you will receive a separate confirmation of receipt.
  If your application is incomplete, you will receive an email for correction and resubmission.

*1Account Registration to the IAAS

  1. Access the IAAS and register your e-mail address
  2. After receiving an e-mail for this registration, access the URL notified to you to complete this registration.
  3. Log in to the account you created and go to (2).

*2When requesting universities for issuance of a letter of provisional acceptance, applicants must submit the following documents

 ◎Copy of a Passing Certificate of the First Screening issued by the Japanese diplomatic mission
 ① Application Form
 ③ Field of Study and Research Plan
 ④ Academic transcript for all academic year of university attended
 ⑤ Certificate of graduation or degree certificate of the university attended
 ⑥ Recommendation letter from the president/dean or the academic advisor at the current or last university attended
 ⑦ Abstracts of theses (*Only if submitted to the Japanese diplomatic mission)
 ⑧ Medical Certificate
 ⑨ Certificate of language proficiency (*Only if submitted to the Japanese diplomatic mission)
 ⑩ Recommendation letter from the present employer (*Only if submitted to the Japanese diplomatic mission)
 ⑪ Photograph(s) showing applicant’s own works of art or a digitally recorded media of musical
performance (*Only if submitted to the Japanese diplomatic mission)

 ※Applicants must submit any other necessary documents requested by the program office.
 ※Do not need "②Placement Preference Application Form" submitted to the diplomatic mission.

  

Contact the office in charge of international research students at the graduate school you wish to enter.

 

Notes:

  • It may take more than one month to determine acceptance or rejection. please apply with time in mind.
  • If the faculty and graduate school accepts you, a letter of provisional acceptance will be issued. In addition to the scholarship procedure, the recipient must also complete the admission procedures to the university. In particular, if you wish to enroll in the master's or doctoral course, you must pass the entrance examination, so please check the application procedures and application period on the Admission Information page of each graduate school.
  • If you no longer wish to enroll at HU after receiving a letter of provisional acceptance, please contact the faculty member who accepted you as soon as possible.
