【Important】 For those who passed the first screening of the Japanese Government (MEXT) Scholarship: Upcoming Procedures

Those who have passed the first screening at the Japanese Embassy (Consulate Office) in your country

Applicants who have obtained a Passing Certificate issued by the Japanese diplomatic mission in their home country and are interested in studying at Hiroshima University, are kindly requested to carefully review the following instructions before making any inquiries or applying for a Letter of Provisional Acceptance.

Application Period

The application deadline for the 2026 academic year is Monday, September 1, 2025 (Japan Time) .

Please note that the issuance of a Letter of Provisional Acceptance may take some time. Therefore, we highly recommend that you contact us promptly after passing the first screening.

Procedures and Contact

<STEP① Find a Prospective Supervisor>
Research carefully whether Hiroshima University has a program that matches your research plan, and which faculty members are in charge of the program.

※Please carefully consider whether the graduate school you plan to apply to matches your research plans and goals so that you will not be disappointed after enrollment.

<STEP② How to Contact Us>
After identifying both your prospective academic supervisor and the graduate school you wish to enroll in, please contact the office in charge of MEXT Scholarship students at the relevant graduate school.

[Email Preparation Guidelines]
Please include a subject line clearly stating that you have passed the First Screening of the MEXT (Embassy Recommendation) Scholarship.

Example subject: “Inquiry from a MEXT (Embassy) First Screening Passing Applicant Regarding Application for a Letter of Provisional Acceptance”

In the body of the email, be sure to include all of the required information listed below, and attach the necessary documents as instructed.

   4. Field of study and study program
   5. Prospective supervisor
   6. Desired course for enrollment 
      (research student, master's course, doctoral course or professional graduate course)

  ① Application form
  ② Field of study and research plan
  ③ Academic transcript for all academic years of university attended
  ④ Certificate of graduation or degree certificate of the university attended
  ⑤ Recommendation letter from the president/dean or the academic advisor at the current or last university attended
  ⑥ Abstracts of theses (*Only if submitted to the Japanese diplomatic mission)
  ⑦ Certificate of language proficiency (*Only if submitted to the Japanese diplomatic mission)
  ⑧ Recommendation letter from your present employer (*Only if submitted to the Japanese diplomatic mission)
  ⑨ Photograph(s) showing applicant’s own works of art or a digitally recorded media of a musical performance
 (*Only if submitted to the Japanese diplomatic mission)
  ⑩Copy of a passing certificate of the first screening issued by the Japanese diplomatic mission

 ※Depending on the graduate school you are applying to, additional documents may be required.
 ※You do not need the "Placement Preference Application Form" submitted to the diplomatic mission.

Important Notes

Please note that it may take more than one month to receive a response regarding acceptance. Make sure to contact the university well in advance to allow sufficient time for processing.

  • If your provisional acceptance is confirmed, a Letter of Provisional Acceptance will be issued.
    ※If you wish to enroll in a Master’s or Doctoral program, you will be required to pass the entrance examination of the graduate school. Please refer to the “Admissions Information” page of the relevant graduate school for details on application procedures and deadlines.
     
  • If you no longer wish to enroll at Hiroshima University after receiving a Letter of Provisional Acceptance, you must promptly notify both the prospective academic supervisor and the graduate school office.
