International Admissions Office (IAO)

The role of IAO

The International Admissions Office, IAO is the office for applicants who wish to study abroad as a graduate student through the Special Selection Examination for International Students or as an international research student (Non-Degree). The International Admissions Office assists applicants in the smooth application process.


Separate procedures are required at the preferred graduate school for graduate school entrance examinations applications and international research student admission applications.
For details on application procedures, application periods, etc., please check each graduate school's website and the student application guidelines.

Application timeline

  April enrollment: Around November of the previous year

  October enrollment: Around May of the present year

Procedure for registration in International Admissions Assistant System, IAAS

<About 6 months before the application period>

- Gather information on the graduate school to which you wish to apply.

- Search for information on faculty members and decide on the graduate school of your choice.

<About 3 months before the application deadline>

  1. Register an account on the IAO's website.* Entrance to IAAS
  2. Fill in the required information on the IAAS, upload the required documents, and send them to the IAO.**
    - You can save the data during the process.
    - Uploaded documents must have file names in single-byte alphanumeric characters.
  3. Receive an automatic email from the IAAS *If there are no problems with your application, you will receive a separate "Application Receipt Completed" email. If there are any deficiencies in your application, you will receive an email requesting you to revise your application and resubmit it.
  4. The IAO will send you the results of the "Decision on whether or not to start pre-application contact with the faculty member of your choice".
    - The result will be sent to you in about 2 to 4 weeks.
  5. If the contact is "Acceptable," communication with the faculty member can begin.
  6. Result notification from IAO
    - If you are accepted as a "research student" or "to apply as a regular student", the IAO will send you an "Approval Number".
  7. Check the application guidelines of the graduate school of your choice and proceed with the online application.
    -Enter the "Approval Number" in the application form.

* Account Registration to the IAAS

Applicants who have graduated (or will graduate) from a university outside of Japan who wish to study at the Graduate School of Hiroshima University (excluding the Graduate School of Medical Sciences) must register an account with the IAAS.

 1 Access the IAAS and register your e-mail address
 2 After receiving an e-mail for this registration, access the URL notified to you to complete this registration.

** Information and documents required at the time of registration in the IAAS

Application documents

  • Statement of purpose
  • CV (any format)
  • Photo ID
  • Transcript of Academic Record (from your last school)
  • Diploma or certificate of (expected) graduation/completion
  • Research Plan (Required for some programs. For other programs, it is preferable to attach.)
  • Proof of language proficiency (TOEFL, TOEIC, IELTS, etc. for English, JLPT, etc. for Japanese)
    It is not compulsory for IAO. But note that some programs require it when applying for admission. Please check the admission guidelines in advance.

★If you are a university graduate from mainland China, the following documents are also required:

  • Bachelor's (Master's) degree certificate
  • Online Verification Report of Higher Education Qualification Certificate (教育部学历证书电子注册案表)
